Position Summary

  • Performs administrative functions associated with parts, supplies and material coordination, administration, and invoice reconciliation.
  • Under the supervision of Purchasing Agent
  • Supervisory Role:  N/A

Education, Experience and Professional licensure

  • Education – High school, business school or equivalent
  • Experience – Minimum 5 years of office support experience with related electrical purchasing administration experience preferred.
  • Licensure, Certification – n/a

Key Responsibility Areas

  • Support the purchasing process
    • Spearhead transition from paper PO process to electronic using ComputerEase 
    • Review and document job plans 
    • Order supplies, parts and materials per project/job needs
    • Support new vendor setups, requests for proposals, and the administrative portion of contracts and service agreements
    • Maintain electronic files of requisitions, receiving reports and related inventory documents
    • Maintains records of on-hand inventory, performs cycle counts, verifies physical inventory accuracy, and performs database updates
    • Ensures proper identification of received goods and their storage locations
  • Keeps protected confidential information
  • Ensures that work area is clean, secure, and well maintained
  • Performs miscellaneous clerical functions and special projects as assigned

Knowledge, Skills and Abilities

  • Abilities – purchasing document management, types and creates correspondence/documents/forms, answers phone, files correspondence.
  • Works well reporting to multiple project managers and estimators.  Able to triage duties and responsibilities as needed.
  • Knowledge- Thorough knowledge of document management, correspondence, filing, grammar, typing, office equipment and Microsoft Office.  Knowledge of electrical parts a plus.

Ability to perform the essential functions of the job and to meet its functional and environmental requirements

  • Physical Demands – Must be able to move intermittently throughout the workday.  Does activities such as grasping, lifting and reaching.  Performs light physical work, frequently exerts up to 10 lbs. of force and up to 20 pounds on an occasional basis.  Communicates effectively both orally and in writing.  Carries out detailed written or verbal instructions.  Makes mature judgments, functions independently, is flexible, has personal integrity and works effectively with personnel. Must have initiative and judgment in assigning tasks, and in resolving operational problems.
  • Working conditions – Well lighted, well ventilated work areas.  Congenial, friendly atmosphere with emphasis on respect for everyone.  Subject to frequent interruptions.  Deals well with customers and personnel, under all conditions.

Now Hiring – Service Department Assistant

Position Summary

Accountable for handling of customer service inquiries, via telephone, mail, Internet, video conferencing or in person, for new and existing electrical service requests, scheduling of service appointments, dispatching of service personnel, and billing and collection of service invoices.  The primary focus of this position is to ensure timely resolution of customer inquiries and service requests.

  • Serves under the supervision of the Service Department Manager
  • Supervisory Role:  N/A

Education, Experience and Professional licensure

  • Education – High school, business school or equivalent
  • Experience – 1 year of experience in a customer related environment or college degree
  • Licensure, Certification – n/a

Key Responsibility Areas

  • Receive calls regarding customer service requests
  • Track and resolve customer service issues
  • Respond to customer inquiries, and requests for account information, arrangements, coordinating service requests, determining the most effective resolution to customer issues
  • Educate customers on service and time estimate of services
  • Schedule service appointments and dispatch service personnel
  • Obtain electrical permits as necessary
  • Maintain customer accounts tracking, responsible for preparing and maintaining any necessary records associated with the customer contact
  • Prepare customer invoices and assist with collection of accounts receivables
  • Other related duties as required or assigned.
  • Ensures that work area is clean, secure, and well maintained
  • Performs miscellaneous clerical functions and special projects as assigned.

  • Must be courteous, tactful and exercise patience in dealing with customers, the public and interfacing departments under difficult circumstances. 
  • Must demonstrate the ability to recognize potential problems and take corrective action, respond, prioritize, document and follow customer requests through to completion.
  • Ability to prioritize and multi-task in a fast-paced environment; problem analysis and problem solving.
  • Ability to handle confidential information in discreet and professional manner.
  • Ability to manage a multi-phone system.

Welcome Natalie Howell!

Schaeffer Electric is excited to announce the addition of new Assistant Estimator, Natalie Howell.  Natalie just completed a year and a half long internship with Schaeffer and moving into a full time role after graduating from Rankin Technical College.

Natalie will be assisting our estimating team in all facets, from takeoffs and budgets to customer relations and kickoffs.  If you see Natalie in the office or out and about, please say hello to the newest member of Schaeffer Electric.

Carolyn Conboy Promoted to Vice President

We are extremely pleased and honored to announce the appointment of Carolyn Conboy, Vice President of Finance at Schaeffer Electric Co., Inc., effective January 1, 2020.

Since joining the company in 2016, Carolyn has dedicated herself to the success, growth and evolution of Schaeffer Electric. Her hard work and dedication make it a pleasure to welcome her into her new role of Vice President.

Carolyn’s duties will include overseeing all financial aspects of the company. In addition, she will continue to lead the charge of moving us forward as a more efficient, lean version of SEC.

In addition to this change, the leadership roles in the company continue to evolve. Those include:

Sparks and Bourbon Retire

Congratulations to Dave Sparks, longitme Vice President, and Carol Bourbon, CAD Designer and Assistant Estimator on their retirements.

Dave has been a fixture at Schaeffer Electric for 36 years leading the in both estimating and project management for the large project department.

While many of our clients don’t know Carol, she has been involved with most of the large projects and estimates Schaeffer has performed over her 20 years with Schaeffer.

Each of these persons have contributed to our success, and we hope they will be able to enjoy many, many years of happy, healthy retirement!

Vice President Kohlman Elected to NECA Board

SEC Vice President, Justin Kohlman, in addition to being the chair of the Education Committee, was elected to the Board of Directors of the St. Louis Chapter NECA (National Electrical Contractors Association). Justin was installed at the annual Chapter Dinner and will serve a two year term. Congratulations Justin!

Now Hiring – Project Manager/Estimator for Commercial, Healthcare & Industrial

Schaeffer Electric Company is looking to hire an individual with the flexibility and experience to be an Estimator or Project Manager.  This position requires a self-motivated individual who brings a strong work ethic and is results driven.

Responsibilities:

Either perform an estimate or take over a project from an estimator and follow the project through to completion on all types of construction including but not limited to hospitals, schools, industrial facilities, and commercial buildings.

Day to day tasks include:

Perform estimates in McCormick Estimating Software
Work with prefabrication team to create drawings for efficient implementation.
Procure subcontractors, based on pre-determined requirements, to manage through completion of construction.
Collaborates with project construction team to prepare, review and monitor information and reports related to all costs involved in the budget for the project.
Manage sub-contractor relationship, which includes, but not limited to, initial scope and proposal review, developing final proposal based upon agreed scope of work.
Develop plan to comply with, and report, Minority Business Entity requirements for the project, as required.
Collaborate with developer, subcontractors, municipal entity, equipment suppliers, and site specific construction suppliers to develop a timeline for delivery and completion of milestones prior to project start-up.
Coordinate manpower requirements throughout the project and develop plans for manpower to meet budget.

Experience:

CAD and Revit knowledge
Electrical and building code knowledge
5 plus years’ experience in the electrical industry.
College degree or experience in industry
Background with RFIs, Cost estimates hard bids, negotiating, material take-offs, and reading blue prints a plus.
Ability to layout branch circuiting; to read and understand contract documents, drawings and specifications a plus.
Have an understanding of general electrical design and engineering concepts and have an overall general knowledge of electrical material costs a plus.

President Chettle Elected as Treasurer of NECA St. Louis

SEC President, Tim Chettle, in addition to being a member of the Executive Committee, was elected as Treasurer of the St. Louis Chapter NECA (National Electrical Contractors Association).  Tim was installed at the annual Chapter Dinner and will serve a three year term.  Congratulations Tim!
