Now Hiring – Service Department Assistant

Position Summary

Accountable for handling of customer service inquiries, via telephone, mail, Internet, video conferencing or in person, for new and existing electrical service requests, scheduling of service appointments, dispatching of service personnel, and billing and collection of service invoices.  The primary focus of this position is to ensure timely resolution of customer inquiries and service requests.

Education, Experience and Professional licensure

  • Education – High school, business school or equivalent
  • Experience – 1 year of experience in a customer related environment or college degree
  • Licensure, Certification – n/a

Key Responsibility Areas

  • Receive calls regarding customer service requests
  • Track and resolve customer service issues
  • Respond to customer inquiries, and requests for account information, arrangements, coordinating service requests, determining the most effective resolution to customer issues
  • Educate customers on service and time estimate of services
  • Schedule service appointments and dispatch service personnel
  • Obtain electrical permits as necessary
  • Maintain customer accounts tracking, responsible for preparing and maintaining any necessary records associated with the customer contact
  • Prepare customer invoices and assist with collection of accounts receivables
  • Other related duties as required or assigned.
  • Ensures that work area is clean, secure, and well maintained
  • Performs miscellaneous clerical functions and special projects as assigned.

  • Must be courteous, tactful and exercise patience in dealing with customers, the public and interfacing departments under difficult circumstances. 
  • Must demonstrate the ability to recognize potential problems and take corrective action, respond, prioritize, document and follow customer requests through to completion.
  • Ability to prioritize and multi-task in a fast-paced environment; problem analysis and problem solving.
  • Ability to handle confidential information in discreet and professional manner.
  • Ability to manage a multi-phone system.
  • Abilities – types and creates correspondence/documents/forms, answers phone, files correspondence, operates copy, fax machine.
  • Knowledge- Thorough knowledge of document management, correspondence, filing, grammar, typing, office equipment, Microsoft Office.

Ability to perform the essential functions of the job and to meet its functional and environmental requirements

  • Physical Demands – Must be able to move intermittently throughout the workday.  Does activities such as grasping, lifting and reaching.  Performs light physical work, frequently exerts up to 10 lbs. of force and up to 20 pounds on an occasional basis.  Communicates effectively both orally and in writing.  Carries out detailed written or verbal instructions.  Makes mature judgments, functions independently, is flexible, has personal integrity and works effectively with personnel. Must have initiative and judgment in assigning tasks, and in resolving operational problems.
  • Working conditions – Well lighted, well ventilated work areas.  Congenial, friendly atmosphere with emphasis on respect for everyone.  Subject to frequent interruptions.  Deals with public and personnel under all conditions.
